Are you an organized, detail-oriented professional with a passion for supporting employees and managing HR processes? Join our dynamic HR team as an HR Administrator and play a key role in ensuring the seamless delivery of HR services across the organization.
Key Responsibilities
Email and Query Management
- Oversee the HR team’s busy email inbox, triaging queries, responding appropriately, or escalating them to relevant team members.
Employee Support
- Provide timely and accurate assistance to employees with general HR inquiries via phone, Teams, or email.
- Prepare and manage documentation for contractual changes, such as promotions, salary adjustments, and contract extensions, ensuring timely follow-up on approvals and signatures.
Administrative Support
- Assist the Head of HR, HR Manager, and the wider HR team with scheduling, correspondence, and other administrative tasks.
Employee Records and Data Management
- Maintain accurate employee records in the MyHR (XCD) system, ensuring data is precise and up-to-date.
- Serve as the primary contact for employee issues related to HR self-service systems or records.
Absence and Leave Management
- Manage medical certificates and escalate sensitive absence issues.
- Support the Rewards Specialists with maternity/paternity/parental leave administration and holiday purchase schemes.
HR System Expertise
- Act as a subject matter expert for the MyHR (XCD) system, troubleshooting issues, updating employee data, and generating reports.
Recruitment and Induction Support
- Provide backup support for recruitment and onboarding processes.
Organizational Chart Maintenance
- Regularly update and maintain organizational charts, ensuring accuracy.
HR Administration Procedures
- Develop and document HR administration procedures, maintaining them in the Promapp system.
Intranet Management
- Manage and improve HR intranet pages to enhance accessibility and usability.
HR Initiatives and Project Support
- Assist with HR initiatives, such as annual pay and bonus processes, employee surveys, and ad-hoc projects.
Payroll and Benefits Administration
- Prepare payroll data, including salary adjustments, bonuses, and deductions, and resolve discrepancies in collaboration with the payroll team.
- Support benefits administration, such as health insurance and employee perks.
Training and Development Administration
- Maintain training records and manage attendance tracking.
Exit and Offboarding Administration
- Coordinate exit processes, ensuring all documentation is completed accurately and on time.
Knowledge, Skills, and Experience
Essential:
- HR Systems Proficiency: Experience with MyHR (XCD) or similar HR systems, including data management and reporting.
- Email and Query Management: Proven ability to manage a busy HR inbox with efficiency.
- Employee Support: Strong communication skills and a customer-centric approach to resolving inquiries.
- Data Accuracy: Attention to detail in maintaining records and data.
- HR Documentation and Compliance: Knowledge of GDPR and experience managing employee life cycle documentation.
Desirable:
- Familiarity with organizational chart software.
- Experience documenting and maintaining HR procedures.
